# Adding kits and orders to your plamotrack collection

> Learn how orders fan out into individual kit rows, how to record purchases and track shipping, and how to add kits you received as gifts or trades.

Use **Kits** for the individual models you own and **Orders** for their purchase history. You can add a kit on its own, or let an order create the kits for you.

An order for two copies of the same Zaku creates two separate kits. Each can have its own status, build dates, notes and rating.

## Add a kit you already own

For a gift, trade or kit already on your shelf, a purchase record is optional.

    Open **Kits** in the sidebar and click **Add kit**.

    Enter **Name** and **Grade**. Add **Scale**, **Kit number** and **Series** if you want them recorded.

    Choose its **Status**: **Backlog** means it is in hand and unstarted; **Building** means you are working on it; **Complete** means it is finished.

    Click **Add kit**. The kit appears in your collection and the matching Home section.

If you plan to record the purchase as an order, use the next section instead. Adding the same models individually as well would create duplicates.

## Add an order

    Open **Orders** and click **New order**.

  <Step title="Record the purchase">
    Choose a **Retailer**, or use the adjacent add control to create one. Check the **Order date** and **Currency**.

    You can also record an **Order number**, **Shipping cost**, **Delivery service** and tracking details.

  <Step title="Add the items">
    In **Items**, choose the item type for each line. For a kit, enter the kit name, grade, quantity and unit price. Use **Add line** for another item.

    Two copies of one Zaku can share a line with **Quantity** set to `2`. A different model gets a separate line.

    For tools, consumables, upgrades or display items, search for an existing catalogue entry or create one through the picker.

  <Step title="Record whether it has arrived">
    If the purchase is already in your hands, tick **Already in hand** and check the arrival date. This adds its inventory stock immediately and puts its kits in Backlog.

    Leave it unticked for an order you are waiting for. Use **Pre-order** if it is a pre-order.

  <Step title="Save the order">
    Click **Record order**. plamotrack creates one kit for each physical model on the order. Inventory stock from a pending order waits until you record its arrival.

## Record shipping and arrival

In the current interface, you record these events through dates in **Edit order**:

1. Open the order's edit control in **Orders**, or on its **In the mail** card on Home.
2. When it ships, fill in **Shipped on** and click **Save changes**. Kits still waiting on the retailer move to **In Transit**.
3. When the box arrives, open the order again, fill in **Received on** and click **Save changes**. Its kits still in **Pre-ordered**, **Ordered** or **In Transit** move to **Backlog**, and its inventory quantities are added to stock.

You can record the actual past date if you are entering a delivery later. You do not need to record shipping before recording arrival. Kits already moved beyond the waiting stages keep their progress.

## Edit a kit or order

Use a kit's edit control on **Kits** or Home to change its status, name, grade, scale, series, notes or dates. Existing kits also have a **Rating (1–5)** field.

Changing a kit to **Building** or **Complete** fills the matching build date if it is empty. You can enter the real date when recording an older build.

Changing a kit detail on an order line applies that changed detail to every kit the line created. Details you leave unchanged retain each kit's individual values.

## Why an edit or deletion may be refused

Deleting an order means undoing its entry: plamotrack removes the kits it created and reverses any inventory stock that was added when it arrived.

The app refuses the deletion if that would lose protected build history or reverse stock you have already used. For example:

* A kit from the order is **Building**, **Complete** or has a rating.
* A received order added five consumables, but fewer than five are now on hand.

Removing a line or reducing its quantity has similar protections. The error explains what prevents the change; the order is kept when the deletion is refused. Keep a completed purchase as history rather than deleting it to tidy the list.

A kit created by an order cannot be deleted separately from **Kits**. Correct the order line instead, subject to the same protections.

  Recording an order does not add inventory stock until it is received. A pending order for cement is a purchase you are waiting for, not a bottle already on your bench.
